Trumba Calendar Sync – No More!

For a couple of years now I have been using a very nice piece of software for managing our church calendar online called Trumba.  I first met the Trumba guys in Vegas we have been using their software every since to synchronize the calendar in our church secretaries calendar w/ the calendar that displays on our church website. 

I got a note this morning that I knew for some time would be coming, but I honestly didn’t want to believe it.  Trumba is discontinuing their calendar sync software at the end of the year.  I already have in mind an alternative solution for managing our church calendar but wanted to pass along this information in case over the years I recommended Trumba to any of my clients or friends so that you would have a heads up.  Here’s the email I got from Jerry Rinaldi this morning:

Dear Trumba Calendar Sync User,

This email is to remind you that Trumba Calendar Sync will be discontinued on December 31, 2008 and should be uninstalled from your computer system before that date.  Starting on January 1, 2009, Trumba Calendar Sync will no longer function and if not uninstalled, may display an error message whenever Microsoft Outlook starts up.

This email is a follow up to one sent on December 12, 2007, where Trumba Corporation announced that Trumba Calendar Sync, an application that syncs the Trumba Connect service with Microsoft Outlook, would be discontinued at the end of 2008. This email is to confirm that plan remains in effect; Trumba Calendar Sync will officially be discontinued and be removed from service on January 1, 2009.  If Trumba Calendar Sync is the main reason you hold a Trumba account, we wanted to give you ample notice in the event you need to find an alternative calendaring solution.

If you are in a position which requires you to move to another calendaring solution, you can export your event data from Trumba for import into other calendar products. To learn more about the formats that you can export your data in, please check our help topic on exporting.

Plaxo Keeps Getting Better…

I have been a premium Plaxo user since the company started.  Since my business interests are primarily B2B (Business to Business) Service Providers, my contacts literally are my bread and butter.  I have somewhere in the neighborhood of 2500 contacts after I recently audited it, being able to keep track of these folks over the years and maintain a relationship with them has been a huge asset to me. Plaxo is a huge part of that equation. 

Recently Plaxo sold to Comcast and is now a part of their Media Group.  Over the past year or so Plaxo added a new feature called Plaxo Pulse that enables you to keep in touch with your contacts even better.  Since today’s landscape consists of social networks on top of social networks, the two big examples being Facebook and MySpace, it’s even more and more important to stay on top of your contacts inside these networks.  I am currently working on a project with a client that uses Facebook a lot to communicate regarding the project.  This is not uncommon, I actually have two projects right now that are working through Facebook.  A year or two ago I would have laughed at the idea. 

With Plaxo Pulse, you not only stay in contact with and connect to your business acquantances, classmates, friends, and family but you also stay in the loop with what’s going on in their world.  Pulse incorporates all of the top social media networks into one easy to track location.  I am not aware of anyone else really doing that right now effectively or as comprehensively as Plaxo has done.  If you aren’t already on Plaxo, at least the free version, I recommend giving it a try and synchronizing your Outlook Contacts, if nothing else, it’s a great tool for backing up your Outlook but I think once you have an opportunity to see what kind of a tool Plaxo is you will love it. 

I have talked about Plaxo on here a few times in the past but here’s a little more information in case you aren’t already familiar with them…

Google Calendar Sync w/ Outlook…

Google CalendarAs you might remember I blogged a while back about Pleth’s Premium Email Solution and our all-new Microsoft Outlook Calendar Sync application.  I have been using it on a daily basis and absolutely loving life.  This is something that I have seen as a necessity for a while partly because I am a power Outlook user from way back!  Google has lacked this ability until now.  I just stumbled across this today while browsing so forgive me if this is old news to you, but Google now has a download available on their site that will allow for synchronization between your Google Calendar and your Outlook Calendar, here’s the scoop….

Google Calendar Sync allows you to sync events between Google Calendar and Microsoft Outlook Calendar. You’ll be able to determine the direction of information flow, as well as the sync frequency. Staying on top of your Google Calendar and Microsoft Outlook Calendar events has never been easier!

Keep in mind that it’s not possible to sync events on secondary calendars at this time. Google Calendar Sync will only sync events from your primary Google Calendar and your default Microsoft Outlook calendar

Staying in Touch w/ Business, Clients, etc…

Pleth, LLC | Web Site Design, Managed Hosting, Email Hosting, Email ServicesOne of the most important aspects to being in business, especially a service industry like I am is staying in touch with clients, whether it be their contact information, meetings, birthdays, account information, etc.  Recently I have had a couple of friends that are in business ask me how I manage my Calendar, Email, Contacts, Notes, etc., so I figured I would post an entry here for their benefit, hopefully it will help others as well. It has taken me a while to arrive at the solutions I use to stay in touch with my business and as you will see below it’s a process that’s evolving around my Pleth Premium Email Solutions Account and it’s seamless integration into other tools.. 

My Desktop Application

I am a Microsoft Outlook power-user, have been for a long time now, I guess since the 90′s.  I use Microsoft Outlook to read email, manage my calendar, contacts, meetings, tasks, notes, and journal.  I run Outlook from the desktop of my primary development machine and it stays open all day long as I interact with clients and work from my tasklist that I build each morning first thing from the messages in my inbox.  I do this routine each day religiously.  I know that there are critics out there that either don’t use Outlook or have another system in place that they rely on, and that’s fine w/ me as long as they have something that they are comfortable with and it helps them maximize their work day that’s fine with me, I do however recommend Outlook as an email client when asked by friends, clients, and family members.  I know it’s not cheap and doesn’t come bundled on a lot of the systems shipped today but for me it’s the best money spent.

When I am going to be out of the office…

If I know I am going to be out of the office for a daytrip I will usually carry my laptop with me and connect to my email via Gmail.  I have setup Gmail to download my Pleth Premium Email Account’s messages, (yes, Pleth Premium Email Solutions will even work with Gmail’s interface if you are interested, drop me a note and I can fill you in on this), this typically keeps me in the loop with client communications.  If I need to create a task or calendar entry I just key that info into my Treo Smartphone or I will login to my pleth premium email account interface and add it there.

My Mobile / Wireless Email Solution:

For my wireless solution I run Pleth Premium Email solutions on my Palm Treo using Cingular (AT&T).  I have it set to check for new messages every 2 minutes or so and it keeps me very attached to my clients no matter where I am at (with the exception of meetings, church, etc.).  When I return home from my trip I will simply synchronize my Treo with my Outlook and magically everything is up to date.  Rarely have I ever seen this process fail.

Emerging Technology in the Pleth Premium Email Interface:

I have been beta-testing some emerging technology that we are just about ready to roll out to our clients that does something very cool.  This technology runs on your primary desktop machine that runs your primary Microsoft Outlook installation that you typically work from.  What this software does is it works behind the scenes to synchronize your Calendar, Tasks and Notes with your Pleth Premium Email account’s web interface…  That’s right…

Let’s say I am on my way out of the office and I need to jump in and add a task to my workload in Outlook.  I simply add the task to outlook and jump in the car and head to my destination.  Upon arrival at my destination I simply log into my Pleth Premium Account interface and the task I just added before leaving is already in my tasklist.  It’s the coolest thing I have seen in a while and a feature that I know our clients are excited about having.

Sync Outlook with Pleth Premium Email

Pleth, LLC | Web Site Design, Managed Hosting, Email Hosting, Email ServicesI am currently beta-testing an exciting product that we hope to be able to roll out to our clients this year.  It’s a Synchronization tool that works with Pleth Premium Email Solutions Webmail Client (our web-based email client) and Microsoft’s popular Outlook Email Client.  This new tool will allow our customers to synchronize their Calendars, Tasks, Notes, and Contacts with their Web-Based Email Account. 

Why is this such an exciting product for me?  I utilize Microsoft Outlook for my day to day operations, my calendar dates back for at least the last decade or so, and it also sync’s with my Palm Treo Smartphone.  I also use tasks inside of Microsoft Outlook to manage tasks that I have for client projects.  I also frequently take notes on my phone when I am in meetings, or even heading to the grocery store.  By adding the synchronization functionality with our webmail client, I can be in the Batesville office working from my laptop or in Vegas or Chicago in meetings and have the most recent calendar, tasks, and notes from my desktop or primary computer at my fingertips.  I can’t tell you how excited I am about this product.

This software will be beta tested for the next month or so by my partners and I to ensure that it’s ready to roll out to our clients and free of bugs. At this time it appears to be working great.I will be reporting back on this software closer to it’s release date.  I haven’t got any insight as to what we will charge for this software but I am guessing that it will be available as an add-on to our email service and could roll out as low as $1 – $2 per month per account, or at least that is our projected estimated cost.

Plaxo is Awesome!

plaxoI have a large contacts database that I have been building since I entered the business world I guess. I feel fortunate to have had an opportunity to cross paths with a lot of talented folks and to have worked with them from time to time on various projects.  I use Microsoft Outlook to manage my contacts database and I then sync this database with my Treo 680 smartphone and my Pleth Premium Email Solution account so I always have up to date contacts with me at all times whether I am in the car, on the golf course, or traveling with my laptop.  I also synchronize my contacts database with Plaxo, here’s a brief description of what exactly plaxo does that I grabbed from wikipedia.org…

Plaxo is an online address book service founded by Napster co-founder Sean Parker, Minh Nguyen, and two Stanford engineering students, Todd Masonis and Cameron Ring. Plaxo, based in Mountain View, California, is currently privately held and supported by venture capital. In October 2006, the website reported 15 million users.

Plaxo provides automatic updating of contact information. Users and their contacts store their information on Plaxo’s servers. When this information is edited by the user, the changes appear in the address books of all those who listed the account changer in their own books. Once contacts are stored in the central location, it is possible to list connections between contacts and access the address book from anywhere.

A Plaxo plug-in supports major address books including Outlook/Outlook Express, Mozilla Thunderbird, and Mac OS X‘s Address Book, though other ones can be supported through an application programming interface. Additionally, Plaxo can also be maintained through an online version.

OutSync links Facebook & Outlook…

I ran across a pretty cool tool on Download.com the other night and decided to give it a try.  It is called OutSync and what it does is it links your Outlook to your Facebook account and allows you to synchronize photos from your Facebook contacts with your Outlook. Why would you want to do that you might ask?  Let’s say that you use Outlook for your central contacts database, after all survey’s show that most of us do.  I personally migrated to Outlook from Act sometime around 1998 or so and have been extremely loyal to it every since.  Most all corporate users I know also have Outlook running all day long to keep their calendars, inbox, and contacts within quick reach, it’s just a productivity thing if you ask me.  Let’s say you use Outlook, okay if you have a mobile phone that’s a smartphone or pda phone and you synchronize it with your Outlook, having this tool running will also allow your facebooks contact person to have their photo show up on your phone.  I tried it and it works.  Although I dont have a lot of my professional contacts connected on facebook, I am sure that one day soon we all will, facebook is just growing that fast.

I did run into a few snags or things that I would have liked to have seen it do differently.  For one thing it’s not a live synchronization, would like to see that as a future feature, it also doesn’t handle birthdays, I typically like to call friends on their birthdays, I might not get to talk to them as much as I would like but at least I know that one time a year I get to speak to them on their birthdays, I picked this up from a friend of mine, I always use to be amazed at how well he stayed in touch w/ his contacts.  Another feature that I would like to see them add or tweak out is that let’s say John Doe is in my Address Book in Outlook and his facebook profile is for John J Doe, it doesn’t give me the ability to pair those two up as being the same person so I am forced to go in and change my Outlook Contact Data for that person if I want their photo to be synced up.  Not a big deal I wouldnt think but let’s say that person is also a part of my Plaxo database, an application I consider to be much more business critical, what does this do for me?  Well I have noticed that by changing their name in my contacts database in Outlook, Plaxo, just by nature of the software, will go in and create a duplicate card for that person.  That’s my only two drawbacks.  The website to get the plugin can be found on CNet’s Download Com here: http://www.download.com/8301-2007_4-9850554-12.html?tag=dlblog-post and the website for getting the app and it’s support, etc., is located here http://www.melsam.com/outsync/default.aspx.

I am always looking for ways to further enhance Outlook and make it work better for me, a couple of other good plugins for Outlook that I recommend are Plaxo (www.plaxo.com), this is by far my favorite.  Also, I have a linked in toolbar, you can get that on www.linkedin.com I am pretty sure.

Pleth Premium Email w/ Outlook Synchronization…

My partner Greg and I were discussing the possibilities of being able to synchronize your Outlook Desktop Client with your Webmail client. For example, a feature like this would allow you to accomplish the following:

  • Synchronize your calendars, contacts, and tasks between Outlook and Plethware
  • View shared calendars in both Outlook and Plethware
  • Schedule Automatic Synchronizations
  • Manage your data from any computer at any location
  • Increase productivity by giving others visibility to your calender online and offline
  • Easily set up synchronization capability between multiple computers.

Add an RSS Feed to Microsoft Outlook

I upgraded to Office 2007 Ultimate a while back and I really like some of the new features it has packaged in.  Although I will be the first to admit that it has taken me longer to get familiar with everything than I would have liked.  One of the cool features that I am pretty fond of is the ability to subscribe to RSS feeds inside of Outlook.  They come into my outlook just like an email would, except they go into my RSS Feeds folder.  I just discovered this the other day on Microsoft Office Online and thought that I would pass the info along, here is a Link to Add an RSS Feed – Outlook – Microsoft Office Online.  This feature comes in pretty handy if you follow and try to stay up to date on a few blogs or even message boards that offer RSS feeds.
